Terms and Conditions
1. The Terms and Conditions apply to letting the premises, owned by Dings Crusaders RFC Ltd, Shaftesbury Park, Frenchay Park Road Bristol BS16 1LG. The terms WE/US refer above
2. We reserve the right to terminate this Hire Agreement should the Hirer fail to comply with the following Conditions of Hire. In this event advance payments will be forfeited
3. The hirer cannot sublet the venue under any circumstance
4. We reserve the right approve all bookings
5. We reserve the right to cancel any letting. A fee will not be charged for session(s) We will endeavour to find alternative date(s). If misconduct occurs the hirer will be charged in full for any booking cancelled by us
6. We can enforce specific conditions in respect of letting(s), to protect our employees or property
7. All bookings are invoiced at the beginning of each month for the previous month. Invoices for block bookings need to be paid within 14 days of the invoice date. Cheques are payable to Dings Crusaders RFC Ltd. Non-payment of invoices over 4 weeks old, we exercise our right to cancel booking(s). Ad-hoc booking must be paid in full, a minimum of 14 days before the commencement of the booking
8. Cancellations must be notified in writing. Advance payments will not be refunded following any cancellations except at our discretion
9. Block bookings made which are subsequently cancelled will be liable to pay 50% of outstanding booked dates.
10. We require 14 days notice for cancellation of a regular block booking and will charge the hirer for the sessions during this period. Cancellations need be made in writing to the address above or generalmanager@dingsrugby.co.uk
11. Ad-hoc cancellations 48 hours notice is required or the full cost will be invoiced by us.
12. The hirer will be responsible for the overall supervision, safety and removal of those participating and spectating in their activity
13. The hirer is obligated to pay for damages to property and or equipment which is a direct result of the participants or spectators of their Letting. Where a deposit is required, it is intended as a part or full payment in advance towards the cost of breakages, damage or any other event whatsoever caused by the Hirer or Hirers Guests. Whether or not a deposit is required the Hirer will be responsible for paying in full the costs associated with the repair of such damage/breakage or any other event caused by the Hirer or the Hirers Guests. The hirer is expected to clear rubbish and leave the premises and/or grounds in the condition they were found
14. The hirer will pay for costs incurred in cleaning the premises or clearing the grounds after a letting if left in an unacceptable condition.
15. Please ensure the hirer has their own first-aid person on site, to deal with minor and major incidence during their activities. Our staff are trained to assist and record incidence on site, to mitigate against any future incidence
16. Insurance required to cover any liability in respect of these Conditions of Hire or arising from any event associated with the Hirers use of the facilities must be taken up by the Hirer.
17. We shall determine whether any facility, pitch or field is fit for use and can cancel booking(s) with no notice at our discretion
18. The Hirer is responsible for the strict observance of Licensing Laws particularly the agreed hours of the licence and that no intoxicating liquor is sold to persons under the age of 18 years.
19. The Hirer will be responsible for the maintenance of good order and conduct of their Guests. The Hirer must ensure that no nuisance is caused to any local householders or residents in the vicinity of the venue.
20. Failure by the hirer to comply with any of the terms and conditions, give us the right to cancel any letting(s).
21. Vehicles parked on site are entirely at the owners risk and we shall not be liable to any visitor at the venue for loss or damage to any persons or property occurring in or about the premises however caused.
22. Well behaved Dogs are welcome at Shaftesbury Park, but they must remain on a lead at all times. They are are not permitted in the building unless they are registered guide or support dogs with the appropriate certification.
23. Any property left at Shaftesbury Park is not the responsibility of the club. It will be placed into lost property for a period of 2 weeks before being disposed of, either donated to charity or destroyed.
